When the owner joined a staffing company to launch a healthcare staffing division, she brought more than 15 years of healthcare staffing experience—and a clear understanding of what it would take to build the operation from the ground up. She established the division’s processes and had it operating within 30 to 60 days, initially focusing on travel nursing and allied health professionals.
To support the new division, the company partnered with an employer of record (EOR). The relationship soon became a source of operational and financial concern. Billing, payment processing and profit calculations were difficult to follow, and the company could not obtain a clear explanation for a balance that grew to nearly $200,000. More seriously, state licenses were allowed to expire, causing the division to lose a client contract and transfer six placements to another agency.
Healthcare staffing requires an EOR that understands state licensing, VMS and MSP environments, reverse invoicing, complex payment reconciliation and the need to protect the contractor experience. The owner found that the original provider lacked the structure, transparency and healthcare staffing knowledge the division needed.
Other EORs the owner considered offered rigid, one-size-fits-all models—requiring their contracts, processes and margin rules with little room for the staffing firm’s established way of doing business. The owner needed a partner that could provide strong controls without taking control of the company.
After evaluating several options, the owner selected Signature. The transition was planned for late 2024 to minimize disruption for clients and contractors. Signature’s team coordinated the change and helped make the move smooth for everyone involved.
The relationship quickly became the collaborative model the owner had been seeking. Signature brought practical experience with VMS platforms and the detailed reconciliation required when VMS-generated invoices do not match a staffing company’s internal tracking. The team also provided responsive communication, maintained state licenses and addressed questions or exceptions directly rather than leaving the owner to untangle them alone.
With Signature handling critical back-office responsibilities, the owner gained the confidence to focus on the business itself. She could trust that licensing, invoicing support and other operational details were being managed, while still retaining the flexibility to run the staffing company in the way she believed was right.
That foundation became even more important when the owner acquired the healthcare staffing division in November 2025. The division became a fully independent company under her ownership. Because Signature served both the former parent company and the newly separated business, its team helped make the operational separation and ownership transition straightforward.
The owner credits Signature’s model and support with helping make the acquisition possible. Instead of having to build a complete back-office infrastructure or search for another provider during a major transition, she had a trusted team already in place.
Today, the healthcare staffing firm is rebuilding with a boutique approach: concentrating its time and expertise on the hard-to-fill healthcare roles that larger agencies may overlook. With Signature supporting the back office, she can focus on developing talent pipelines, deepening client relationships and positioning the company for its next stage of growth
“It feels more like a partnership. Signature is there to support us and help us be successful.”
